- Agreement Overview
By submitting this registration form and completing payment, you (“Exhibitor”) agree to these Terms & Conditions (“Agreement”) governing participation in *Career Fest* (“Event”), organized by the *Event Organizer* (“Organizer”).
Completion of online payment and acceptance of these terms constitute a binding agreement between the Exhibitor and the Organizer.
- Registration and Payment
- Exhibit space is confirmed *only upon full payment* through the registration portal.
- Space reservations are allocated on a first-come, first-served basis.
- Unpaid or incomplete registrations may be released without notice.
- All payments are *non-refundable*, except as specified in Section 10 (Cancellations and Refunds).
- Submission of payment and acceptance of these terms electronically is legally equivalent to a signed contract.
- Booth Allocation
- Exhibit spaces are assigned based on availability, event flow, and operational considerations.
- Location preferences may be requested during registration but are *not guaranteed*.
- The Organizer reserves the right to modify booth assignments as needed for safety, access, or venue layout adjustments.
- Exhibitor Responsibilities
- Exhibitors must:
* Set up, operate, and dismantle their booths according to the schedule provided.
* Ensure all materials and displays comply with venue safety and accessibility rules.
* Provide their own staffing, signage, and marketing collateral.
- Exhibitors are *not permitted to sublet or share* booth space without prior written approval.
- The Organizer may remove any display or activity deemed unsafe, disruptive, or inappropriate without refund.
- Professional Conduct
All Exhibitors must always maintain courteous and professional conduct toward attendees, fellow exhibitors, and event staff. Any form of harassment, aggressive solicitation, or unprofessional behaviour may result in immediate removal without refund.
- Marketing and Promotion
- Exhibitors authorize the Organizer to use their company name, logo, and related materials for promotional and informational purposes related to the Event.
- Exhibitors may promote their participation in the Event using approved branding assets provided by the Organizer.
- Unauthorized or misleading use of the Event’s name, logo, or brand is prohibited.
- Setup and Tear-Down
- Detailed setup and dismantle times will be shared prior to the Event.
- Early dismantling before the official closing time is *strictly prohibited*.
- Exhibitors must remove all materials and waste; unclaimed items may be discarded at the Exhibitor’s expense. Any damages and related costs, as determined by the Venue, will be payable by the Exhibitor immediately.
- Safety and Insurance
- Exhibitors are responsible for maintaining their own property and liability insurance covering participation in the Event.
- The Organizer and venue assume no responsibility for loss, theft, damage, or injury to Exhibitor property or personnel.
- Exhibitors must comply with all applicable health and safety regulations.
- Indemnification and Limitation of Liability
The Exhibitor agrees to indemnify and hold harmless the Organizer, its staff, contractors, and venue partners from any claims or damages arising from participation in the Event.
The Organizer’s total liability shall not exceed the amount of the Exhibitor’s registration fee.
- Cancellations and Refunds
- Cancellation requests must be made in writing via the contact form or email provided in the Exhibitor portal.
- Refund policy:
**More than 60 days before the Event: * 25% (less processing fees).
* *Less than 60 days before the Event: * No refund.
- If the Event is postponed or cancelled by the Organizer due to circumstances beyond its control, Exhibitors will be notified and offered rescheduling or partial refund options.
- Force Majeure
The Organizer is not liable for delays or cancellations caused by events outside its reasonable control (including natural disasters, strikes, pandemics, or government restrictions).
- Compliance
Exhibitors must comply with all local, provincial/state, and federal laws and venue regulations. Non-compliance may result in loss of participation without refund.
- Amendments
The Organizer may amend these Terms & Conditions as needed to ensure operational, legal, or safety compliance. Updated terms will be posted on the registration site and apply upon publication.
